A 15-minute daily planning routine

Planning often takes longer than it needs to. This routine aims to clarify priorities in about 15 minutes before work begins. It will not produce the same result for everyone—shorten or extend it to fit your pace.

Minutes 0–3: Inbox scan

You do not need to reply yet. Separate only the items that require action today. Leave the rest for a later communication block.

Minutes 3–8: Choose three priorities

Write at most three tasks that define a successful day. Keep a separate “if there’s time” list so the main list stays clear.

Minutes 8–12: Place them in time

Put the three priorities on a calendar or paper. If you have meetings, schedule deep work before them when possible. Use realistic time estimates.

Minutes 12–15: Remove one friction point

Clear one small blocker before starting the first task—open the file, find the draft, or prepare the link you need.

  • Are today’s three priorities written down?
  • Is a start time set for the first task?
  • Are notifications muted on purpose?
